Business Trip Rates for Propane Power
The company reimburses employees who travel for business using their own vehicles. Payments will be calculated according to the distances traveled. Monies will only be transferred once copies of all the correct forms have been given to John Lee in the accounting office. Please try to submit all related paperwork within two days of your return from business travel. All payments are made not more than thirty days after submission of the paperwork.
Note: In the absence of the correct forms, payments will be delayed.

Because the rates can change according to the price of gas, please contact John Lee less than one week prior to your business trip to find out the most current rates. Rates must be confirmed prior to the start of the trip.

Provide a Short Summary of Your Reason for Travel:
I was sent by the marketing director, Bill Jameson, to try to convince the managers at Fruit Stands Inc., Trust Fruit Ltd., and Fresh Fruits Inc. to switch to our propane-powered fruit stands. I had to travel out to their headquarters in order to do a full presentation and then spend a day or so touring their operations.
Provide a Short Summary of Your General Impressions of the Trip:
The trip was a success insofar as I was able to establish close relationships with the representatives from the companies I visited. However, it will be difficult to use this to increase sales. All the companies I dealt with seemed more than happy to continue to do business with their current vendors.
Provide a Short Summary of Any Problems You Experienced:
Although the newly-built offices for all of the above mentioned companies are close by, I was required to travel to Fruit Stands Inc. three times in order to connect with their manager, William James. I had made appointments with him numerous times and arrived only to find him not there.
Additional Comments:
I think company's system for paying for gas really needs to be looked at. I can understand that the easiest method is to calculate it according to distance traveled, but that can lead to a lot of mistakes. When traffic is bad, you're bound to use more gas and travel a shorter overall distance. Another problem with going by distance is that different cars get different mileage. I would prefer to get paid according to how much time I spend in the car.
